Job Description

The Senior Associate / Associate – Admin Support provides efficient administrative and coordination support to ensure the smooth daily operations. The role supports office administration, documentation, tenant and vendor coordination, reporting, and follow-up on operational matters.

Key responsibilities include:
  • Provide daily administrative support to the Administration team, management, and relevant operational departments.
  • Maintain accurate and organized records of correspondence, contracts, tenant documents, invoices, approvals, meeting minutes, and other administrative files.
  • Coordinate meetings, prepare agendas and supporting documents, record meeting minutes, and follow up on agreed action items.
  • Support communication and coordination with tenants, vendors, service providers, contractors, and internal stakeholders.
  • Assist with processing administrative requests, purchase requisitions, payment-supporting documents, and vendor-related documentation.
  • Monitor office supplies, stationery, equipment, and facility-related requests; coordinate replenishment, repairs, and maintenance as required.
  • Support the coordination of building operations, tenant activities, events, inspections, and service requests.
  • Prepare routine daily, weekly, and monthly administrative reports, trackers, and management updates.
  • Assist with visitor management, reception support, access-control records, and general office coordination when required.
  • Follow up on licenses, permits, contracts, insurance, vendor documentation, and other administrative compliance requirements.
  • Maintain confidentiality of company, tenant, financial, and management information.
  • Identify administrative issues, delays, or documentation gaps and report them promptly to the supervisor.
  • Perform other administrative and operational support duties as assigned.
Senior Associate – Additional Responsibilities
  • Coordinate and prioritize administrative activities across the team and provide guidance to junior administrative staff.
  • Review administrative documents, reports, and trackers for accuracy and completeness.
  • Manage more complex coordination with tenants, vendors, contractors, and management.
  • Monitor administrative budgets, operating expenses, purchase requests, and vendor-service performance.
  • Identify process improvements and support the implementation of efficient administrative procedures and controls.
  • Escalate operational risks, service issues, and unresolved matters to the Administration Manager in a timely manner. 

Job Requirements

For Senior Associate
  • Bachelor’s degree in Business Administration, Management, Office Administration, Hospitality, Property Management, or a related field.
  • 3–5 years of experience in administration, office management, facilities coordination, property management, tenant relations, or a related role.
  • Experience in a commercial building, retail center, real estate, hospitality, or facilities-management environment is preferred.
  • Strong coordination, documentation, reporting, and stakeholder-management skills.
  • Proficiency in Microsoft Office, particularly Word, Excel, PowerPoint, and Outlook.
  • Good written and spoken communication skills in English and Myanmar language.
  • Ability to manage multiple priorities, work independently, and handle confidential matters professionally.
For Associate
  • Bachelor’s degree or diploma in Business Administration, Management, Office Administration, Hospitality, Property Management, or a related field.
  • 1–3 years of relevant administrative, office-support, customer-service, or coordination experience; fresh graduates with relevant internship experience may be considered.
  • Basic understanding of office administration, document control, reporting, and stakeholder coordination.
  • Good organizational skills, attention to detail, and ability to follow up on tasks effectively.
  • Proficiency in Microsoft Office, particularly Word, Excel, PowerPoint, and Outlook.
  • Good written and spoken communication skills in English and Myanmar language.
  • Professional, service-oriented, responsible, and willing to learn.
